Non Staff and Guest Travel
All travel conducted on behalf of 糖心传媒 (SCU) must be approved in accordance with the University’s Travel Policy and Procedures. This ensures that all travel is work-related, cost-effective, and aligns with the University’s duty of care and risk management requirements.
Booking Process for Non-Staff/Students/Guests
For non-staff travellers (including students, guest speakers, industry partners, and visitors), the following steps must be completed before any bookings can be made:
- Profile Creation: to facilitate booking and enable a Pre Travel Approval (PTA) to be created, a profile must be created for the traveller.
Please email travel@scu.edu.au with the traveller’s full name, contact phone number and email address. - Submit PTA for Approval: Once the profile has been created, proceed to the FCM platform to create a PTA. Select the relevant non-staff/student or guest traveller and submit the form for approval.

Yes, students travelling on behalf of the University must follow the same procedures as non-staff guests to ensure they are covered by the University’s duty of care and insurance policies. If the student is a HDR student and has a staff ID, they will have a profile in the PTA system.
No, only authorised Travel Services staff can create profiles within the FCM platform.
Please email the traveller’s details to travel@scu.edu.au to initiate this process.
To set up a profile, please provide the guest’s full name (as it appears on their passport/ID), a contact phone number, and an email address.
University-funded travel must be booked through Travel Services, which charges directly to the University.
If a guest has incurred out-of-pocket expenses, please refer to the Expense Services webpage (login required) for reimbursement procedures.
All travellers must familiarise themselves with destination risks.
Information and pre-trip support is provided to all University approved travellers through our emergency assistance partner, International SOS (ISOS).
University Corporate Travel Insurance is provided automatically for authorised travellers on authorised University business.
This includes staff, Council members, honorary appointees, and students travelling for approved activities (such as practicums, internships, or faculty-led study tours). Please note that coverage is subject to the terms, conditions, limits, and exclusions of the policy.
Please refer to the Corporate Insurance webpage or contact insurance@scu.edu.au to clarify coverage as some students or inbound travellers may not be covered.
Any changes to the purpose, dates, or funding sources of an approved trip require further approval from the delegated authority before Travel Services can amend the booking.
